Privacy Policy

How Meouf collects, uses, stores and protects personal information.

1. Who is responsible

Meouf Jute Industries, 2315 Rue Armel, LaSalle, QC H8N 1L4, Canada, is responsible for the personal information collected through this website.

The person responsible for the protection of personal information — our Privacy Officer for the purposes of Québec’s Act respecting the protection of personal information in the private sector — can be reached at info@meouf.com, marked for the attention of the Privacy Officer, or by post at the address above.

2. What we collect

Account information: your name, email address, phone number, company details and any addresses you save. Phone numbers are verified by one-time code. We do not store a password for customer accounts.

Transaction information: quotations, orders, invoices, sample requests, complaints and the files you upload with them, including artwork and specification documents.

Usage information: the pages you visit and the actions you take. Our own analytics sets no cookies and stores no IP address — a visitor identifier is derived as a one-way hash of IP address and browser, salted with the current date, so it cannot be reversed or correlated across days.

Security information: back-office sign-in times and IP addresses, and an append-only audit record of administrative actions.

3. Why we collect it, and your consent

To provide quotations, fulfil orders, manufacture to your specification, ship goods, issue export and customs documentation, respond to enquiries and complaints, and meet our legal, tax and accounting obligations.

We collect only what is necessary for those purposes. Where we rely on your consent — commercial email in particular — it is asked for separately, is not bundled with anything else, and can be withdrawn at any time without affecting services you have already purchased.

We do not sell personal information. We do not use it for advertising and we do not disclose it for that purpose.

4. Automated processing

The price and lead-time figures produced by our configurator are generated automatically from the specification you enter. They are indicative estimates only; no decision about you is made automatically. Every quotation, order acceptance and credit decision is made by a person.

5. Who we share it with, and where it is stored

We share personal information only with service providers who help us operate: hosting and application delivery, database hosting, file storage, email delivery, payment processing and freight forwarding. They act on our instructions and are bound to protect the information.

Some of these providers store information outside Québec, including in the United States. Information held outside Québec may be accessible to the authorities of that country under its laws. Before entrusting information to such a provider we assess whether it will receive adequate protection, taking into account the sensitivity of the information, the purpose of its use, the protections it would receive and the legal framework applicable where it is held.

6. How long we keep it

Transaction and accounting records are retained for the period required by Canadian tax and export law, generally six years from the end of the relevant tax year.

Analytics records are retained for 24 months, as are security and audit records.

Uploaded artwork is retained for the life of your account so that repeat orders match previous runs. You may ask us to delete it sooner.

When information is no longer needed for the purpose it was collected for, and no legal obligation requires us to keep it, we destroy or anonymise it.

7. Security and confidentiality incidents

Information is transmitted over TLS and stored on access-controlled infrastructure. Back-office access requires a separate credential from any customer account, is restricted by role, and every access and change is recorded in an append-only audit log. Uploaded files are validated by extension, content type and magic bytes, and are never served from a location where they could execute.

If a confidentiality incident occurs and it presents a risk of serious injury, we will notify the Commission d’accès à l’information du Québec and the individuals concerned promptly, and we maintain a register of such incidents as required by law.

8. Your rights

You may ask us for access to the personal information we hold about you, ask us to correct it if it is inaccurate or incomplete, or ask us to delete it where no legal obligation requires us to keep it.

You may withdraw a consent you have given; ask us to stop disseminating information about you, or to de-index a link, where dissemination causes you serious injury; and ask to receive the information you provided to us in a structured, commonly used technological format, or to have it transmitted to another organisation.

Write to info@meouf.com, marked for the attention of the Privacy Officer. We respond within 30 days. If you are not satisfied with our response, you may complain to the Commission d’accès à l’information du Québec, or to the Office of the Privacy Commissioner of Canada.

9. Cookies and commercial email

Our use of cookies is described in our Cookie Notice.

We send commercial email only to people who have asked for it. Every commercial message identifies us, gives our contact details and contains a working unsubscribe link, which we action within ten business days.
